Department Description

Family Education Programs at MAM work to affect positive change in the knowledge, skills, behaviors and experiences of the people who come to us for help in order for them to become skilled, knowledgeable, self-sufficient and resilient.  MAM initiated the Immigration Legal Services Program in 2013 in response to the community need for competent and ethical representation in immigration legal services at a low cost and the need for accurate, accessible and trustworthy information on immigration law.


Responsible for programmatic and administrative support to the immigration program including handling all incoming calls and client walk-ins, overseeing the mail functions, data entry, maintaining supplies, and daily administrative needs of the program. 

Responsibilities Include:
  • Staffing the immigration general voicemail line, including handling call-in inquiries for service and information, making referrals as needed for other services, taking and distributing phone messages to program staff, assisting program staff with outbound client contact and coordinating phone announcements for after-hours callers

  • Processing incoming and outgoing mail including opening mail, entering data into case management system, distributing/filing mail, contacting clients when needed, creating labels, making copies and placing in envelope and posting the mail

  • Meets with potential clients to copy relevant documents and ensures that all files, data and records are properly entered and maintained including setting up client case files

  • Maintains office supplies for the program including inventory and submitting supply order requests

  • Assists with walk-ins for the program

  • Preparing, closing and scanning files and other case management tasks as assigned

  • Translates documents for the program from Spanish to English as needed

  • Performs case management tasks, including calendar and file notes, client database entries and updates, correspondence, and case service statistics;

  • Produces or assists with production of a variety of reports for MAM, funders, community organizations and others as needed;

  • Consistently follows all record keeping policies, procedures and standards to ensure that all client information is protected from unauthorized or unintended release



  • Attend monthly all staff meeting and program meetings

  • Assist in training volunteers in office and file procedures

  • Participate in any coalition activities, staff retreats, agency fairs, speaking engagements and any special organizational projects/events, including outreaches.

  • All other duties as assigned by the managing attorney

  • High school diploma or one-year clerical training or equivalent experience

  • Fluency in Spanish and English (speaking, reading, and writing)

  • One to two years of experience working in office management and basic clerical functions

  • Ability to handle and maintain confidential information

  • Willingness to work with people from all walks of life and treat them with dignity

  • Excellent verbal and written communication and client advocacy skills.

  • Strong organizational skills, ability to manage deadlines, and other tasks simultaneously.

  • Knowledge and proficiency in basic typing skills and computer applications such as MS Office and databases

  • Demonstrated multi-cultural skills and sensitivity

Physical Demands:

  • Regularly required to talk or hear; write messages and basic records

  • Regularly is required to stand, walk, sit, use keyboard, handle or feel objects, tools, or controls; and reach with hands and arms

  • Required to have the ability to lift and/or move up to 25 pounds

Working Conditions/ Work Environment:

  • Primary work location is a climate-controlled indoor office environment

  • Flexibility for travel related to job requirements.

  • Provide own reliable transportation with proof of valid driver’s license and TX minimum requirements of auto insurance.

  • Must be able to work on a regular schedule between the hours of 8:30 am to 5:00 pm
