Department Description

The Fund Development department at MAM has undergone significant growth and a focus has been put toward donor retention and acquisition in order to support program growth. MAM’s Fund Development staff members work in conjunction with the board of directors, congregational council and community volunteers to develop relationships that will bring valued resources to MAM – today and in the future.


The Development Coordinator supports all internal efforts of the fund development department by effectively managing a comprehensive database with a high volume of donor data. The ideal candidate is detail oriented, inquisitive, and a self-starter. He/She will play an important role in creating positive donor experiences, data analysis and development office organization.

Responsibilities Include:

The Database Coordinator will:

  • Understand the MAM mission and current programming

  • Analyze all gifts to determine campaigns, funds and appeals and record in donor database

  • Prepare and process corporate and foundation matching gifts

  • Conduct all aspects of gift/pledge processing and individualized acknowledgement letters in accordance with MAM’s 48-hour turnaround policy

  • Collaborate in the organization, collection, verification and entry of all data

  • Document all data gathering, entry and reporting processes

  • Maintain gift records in accordance with agency financial records

  • Perform monthly reconciliation reports to balance gift accounts with the Business Office

  • Create and produce reports relating to all donor, gift, staff and campaign activities

  • Generate all mailing lists for campaigns, solicitations, stewardship activities, etc.

  • Use Donor Perfect and other spreadsheets to create merged letter and label files for mailings

  • Establish routine quality checks that ensure a high level of data integrity

  • Organize and maintain the integrity of the hard-copy filing system

  • Attend organizational and department staff meetings

  • Support the Office of Fund Development with all other tasks as needed

  • Commitment to the MAM mission

  • Demonstrated ability to work with persons from all walks of life and treat them with dignity and respect

  • Experience working with donor database software and MS Office; experience with Donor Perfect fundraising software a plus

  • Strong attention to detail, ability to take initiative and ability to adapt well to change

  • Excellent organizational skills; ability to plan workflows, handle multiple tasks simultaneously, manage details, problem solve, meet deadlines and communicate progress regularly to supervisor

  • High energy, proactive, requiring little direction, takes responsibility

  • Ability to work occasional evenings and weekends as required for special events

  • Poised, confident, team-oriented and mature approach to work

  • Strong oral and written communication skills

  • High school diploma required; college degree preferred

  • Non-profit experience a plus

Physical Demands:

  • Regularly required to talk or hear

  • Regularly is required to stand, walk, sit, use keyboard, handle or feel objects, tools, or controls; and reach with hands and arms

  • Required to have the ability to lift and/or move up to 25 pounds

  • Required to remain at their workstation for prolonged periods of time

  • Primary work location is a climate-controlled indoor office environment.
