Memorial Assistance Ministries (MAM) exists to strengthen our community by ensuring that families have the means to meet their basic needs.  We design and deliver community-responsive services to help families to avoid homelessness, take steps toward long-term financial stability, improve their children’s school experience, and access other services and supports.  We are the largest provider of social services in west Houston.  Our holistic, strengths-based approach is grounded in faith, preserves dignity, and is open to all.  At MAM, volunteers, donors and the faith community come together to provide opportunities for families to move past crisis and build skills to improve their lives, resulting in neighborhoods full of families who make our city stronger.

Summary

Job Summary:  MAM is seeking an Executive Assistant who will report to the President & CEO and will be responsible for and assist with a variety of administrative functions. The ideal candidate is an organized, detail-oriented, responsible individual who exercises good judgment, works well with multiple people and personalities, can effectively juggle multiple tasks, and desires to work in a dynamic, growing organization.

Responsibilities Include:

Responsibilities/Duties:

  • Provide primary support to the President & CEO.

  • Manage the President & CEO’s schedule and coordinate information needed for meetings.

  • Receive, screen, route, and determine priorities of guests, phone calls, and general inquiry emails.

  • Perform clerical and administrative tasks including drafting correspondence and reports for President & CEO and Board members.

  • Receive, sort, and deliver incoming mail on a daily basis; rout contributions according to incoming donations guidelines.

  • Maintain office calendar, room reservations, shared contacts database, and meeting invitations.

  • Manage external vendors to support organization operations including IT, telecommunications, and other contractors; supervises the maintenance of office equipment.

  • Prepare meeting materials and minutes, including Board of Directors, committee meetings, and staff meetings; follow up on action items and deadlines.

  • Create and maintain an organized system for physical and electronic files.

  • Order and stock supplies for the office and meetings.

  • Manage petty cash.

  • Assist fund development department with organization and implementation of special events.

  • Provide administrative support to human resources department.

  • Other duties as assigned.

Qualifications:

Skills, Knowledge and Abilities:

  • Strong organizational skills, with excellent attention to detail

  • Comprehensive knowledge of standard office practices, procedures, and equipment

  • Problem solving skills; ability to anticipate needs and demonstrate critical thinking and sound judgment

  • Ability to prioritize and juggle multiple projects in a fast-paced working environment

  • Strong spelling, proofreading, grammar, writing, and data entry skills

  • Advanced proficiency in Microsoft Office outlook, internet, etc.

  • Excellent communication and interpersonal skills, both written and verbal, to interact with staff, visitors, Board, donors, partners, and volunteers.

  • Demonstrated ability to work with people from all walks of life and treat them with dignity and respect

  • Desire to be a part of a team and able to work cooperatively

  • Flexibility, integrity, and highest standards of professionalism and confidentiality

  • Bilingual preferred (English/Spanish)

 

Qualifications:

  • College degree in Business Administration or related field preferred.

  • Minimum of three years of experience in administrative support

  • Commitment to the MAM mission

  • Flexibility to occasionally work evenings and/or weekends to support or attend meetings/events

Physical Demands:

  • Regularly required to talk or hear

  • Regularly is required to stand, walk, sit, use keyboard, handle or feel objects, tools, or controls; and reach with hands and arms

  • Required to have the ability to lift and/or move up to 25 pounds

  • Required to remain at their work station for prolonged periods of time

  • Primary work location is a climate-controlled indoor office environment.
